Deletion concept, retention, and data subject rights

  • Individual chats: users can delete their own chats one at a time through the interface. This archives the chat (hidden from the list and search) but does not permanently remove it; permanently removing a single chat is not possible, only together with the user profile (via MeinGPT support). After the contract ends, the DPA applies: return or deletion within 30 days, including backups. Details: Data flow in MeinGPT chats.
  • Automatic, time-based deletion: there is currently no workspace-wide setting that automatically deletes chats after a configurable period.
  • Per-user retention period: there is currently no setting that lets an individual user configure their own retention period.
  • Bulk deletion: there is currently no function to archive multiple chats at once – chats are archived one at a time.
  • When someone leaves the company: neither manually removing a member (Member Management) nor SCIM-based deactivation (Entra ID SCIM provisioning) deletes the account or its chats - both deactivate the membership reversibly, and the data is retained.

Exporting data

MeinGPT has no bulk function that exports all data of a workspace at once. The following content can be downloaded individually:

  • Artifacts: as PDF, DOCX, XLSX, or Markdown (Artifacts)
  • Slides: as PowerPoint (PPTX) and, depending on the interface, as PDF (Slides)
  • Meeting protocols: as a Word document (Meeting detail page)
  • Generated images and files from the Code Sandbox: via the Download button
  • Workflow results: as Word, PDF, text, Excel, CSV, PowerPoint, or structured JSON (Workflows)
  • Member list: as CSV (Member Management)
  • Usage and billing data: as Excel or CSV (Credits)
  • Audit log: as CSV or JSON (Export the Audit Log)

There is currently no export function for chats, assistants, projects, the prompt library, memory, or workflow definitions. Source documents of your data sources stay in your source systems.
