Manage billing

Buy credits, set up auto-topup, maintain billing details, and export top-up history

You find the billing page for your workspace under Settings → Usage & Billing. It is only visible to workspace admins. From here you see your active plan, the remaining balance, and you can top up credits, set up auto-topup, and maintain your workspace's billing details.

Workspace types

The type of your workspace determines how you can top up credits and which options are visible to you:

Subscriptions overview

The main page shows your current billing state:

  • Active plan and term — when your plan starts and ends
  • Remaining balance in euros (tracked internally in credits)
  • Actions — top up credits, configure auto-topup, manage plan
  • Top-up history with export (see below)

Top up via card

Clicking Buy credits opens a modal with five package sizes:

These packages are billed via Stripe (credit card). Credits become available immediately after successful payment.

Hinweis

Immediate invoice: For every purchase, you automatically get a PDF invoice in the top-up history for download.

Top up via invoice

If your workspace is billed via invoice (Qonto), you can additionally buy credit packages on invoice. The Buy credits on invoice modal is only visible if you're eligible:

How it works:

Pick a package

Click Buy on the desired amount. Credits are credited to your workspace immediately.

Invoice follows by email

You receive the invoice over the next business days by email at your billing address. Payment term: 14 days (default value, individual agreements possible).

Questions?

Just reply to the invoice email — it goes to our accounting team.

Hinweis

Open invoices don't block purchases — as long as you have a longer list of open invoices, we'll show a warning in the modal so you keep an overview. With persistently unpaid invoices, our accounting may suspend access — please reach out to us early if you're running into bottlenecks.

Automatic top-up (auto-topup)

So your workspace doesn't suddenly run out of credits, you can enable automatic top-up. meinGPT will then top up your balance via a stored card whenever it falls below a defined threshold.

You find the setting under Settings → Usage & Billing → Automatic top-up.

Configuration

Enable

Flip the Active switch. Only then are the following fields evaluated.

Set the threshold (in credits)

As soon as your balance drops below this value, the top-up is triggered. Example: 1,000 credits threshold = top up as soon as less than 10 € remain.

Choose the top-up amount

The amount that is charged per top-up. Between 5 € and 2,000 €. Quick-select chips for 5 / 50 / 250 / 500 / 1,000 € are right there.

Select a payment method

One of your cards on file in Stripe. If you don't have a card yet, you can add one directly — the card is verified through the Stripe Customer Portal (setup mode, no immediate charge).

After saving, you see a confirmation box with the full rule: "When the balance drops below X credits, charge Y € to card Z automatically."

Status and behavior

  • Cooldown between top-ups — meinGPT waits a minimum interval between two auto-topups, so a misbehaving counter can't cause duplicate charges.
  • Last attempt — date, time, and outcome (succeeded or failed, with reason) of the last auto-topup execution are visible right on the page.
  • Paused during trial — while your workspace is on trial or has no active subscription, auto-topup does not fire (you'll see a notice box if you've configured it nonetheless).
  • Card deleted — if the saved card has been removed from Stripe, a warning appears, since the next top-up attempt would otherwise fail silently.

Hybrid: invoice billing + card for auto-topup only

If your workspace is billed via invoice (Qonto), you can still add a Stripe card just for auto-topup. Your main bill keeps going through Qonto; only the automatic reloading happens via card. The auto-topup page actively offers this hybrid mode if your workspace is in that constellation.

If you'd rather have auto-topup handled by invoice too, get in touch — we can set up a prepayment arrangement through our accounting.

Top-up history

Below your active subscriptions you find the top-up history — a complete list of all credit purchases and auto-topup executions.

Per row you see:

  • Date and time
  • Amount (in € and credits)
  • Trigger — manual purchase (card or invoice) or auto-topup
  • Status — succeeded, pending (invoice), failed
  • Receipt — link to the invoice PDF (if available)

Export as CSV or XLSX through the button at the top right. Useful for your own accounting or cost-center reconciliation.

Maintain billing details

So invoices can be issued correctly, you maintain the legal and administrative data of your workspace under Settings → Billing details.

The fields are grouped into several blocks:

Display name

How your workspace appears in the platform and in lists. Independent of the legal company name, which you maintain in the block below.

  • Legal company name — appears on every invoice and contract
  • Legal form — GmbH, AG, UG, e.V., Stiftung etc. (German legal entities), or equivalent
  • Commercial / association register — required for registered entities
  • Tax identification number
  • VAT ID — for intra-Community transactions
  • Small-business regulation — checkbox for customers not charging VAT (§19 UStG, German small-business rule)
  • Leitweg-ID — required field for invoices to German federal authorities (XRechnung format)

Address

The contractor's registered office. If invoices should go to a different address than the company seat (e.g. accounting at a different location), check Send invoices to a separate address and add the billing address separately.

Invoice delivery

  • Email addresses for invoices — any number, each will receive every invoice
  • Purchase order reference — optional, appears as a reference on every invoice
  • Contacts for accounting, data protection, and IT security — named contacts we reach out to for non-product topics (e.g. DPA updates, security audits, dunning notices)

Completeness indicator

At the top of the page, meinGPT shows whether all required fields are filled in:

  • Complete — ready for invoicing
  • Incomplete — a list of missing fields is visible; without completion, we can't issue correct invoices
