Partners in Your Workspace
Connect implementation partners to your workspace, set their rights, and revoke access at any time
An implementation partner is a company that helps you set up and run your MeinGPT workspace – for example a consultancy or IT service provider with a partner contract with MeinGPT. People from this partner can work in your workspace without becoming regular members. You decide what they may do there.
As a workspace admin, you manage partners under Settings → People & access → Partners.
Note
Partner access is separate from the Sponsorship Program for Partners. With sponsorship, a partner gives new organizations free access; partner access controls who from a partner may work in your workspace.
How a partner gets connected to your workspace
Every connection has a role – Customer lead or Implementation – and an origin, both shown next to the partner's name in partner settings. A workspace has at most one partner in the Customer lead role; partners in the Implementation role can be connected in addition.
| Origin | What happens |
|---|---|
| set up by the partner | The partner created and prepared your workspace for you. By accepting the partner's invitation, you take over the workspace (see Setup by a partner). |
| requested by the partner | The partner asks to be connected to your existing workspace. All workspace admins get an email; the request waits for your confirmation in partner settings. |
| invited by your workspace | You invite a partner using its partner code, which you get from the partner. An admin of the partner confirms the invitation. |
| linked by support | MeinGPT support connects the partner and your workspace, for example based on a contract. All workspace admins are notified by email. |
Open requests and invitations are valid for 14 days and then expire automatically. If you decline a request, the same partner can only request again after 30 days.
What partners see – and what they don't
- Everyone from a partner shares the Partner role. They only see the features you allow this role and content that is explicitly shared with them.
- Private or unshared content stays invisible – private chats, private assistants and anything not shared with the partner. The connection itself shares nothing.
- In the partner's partner area, your workspace only appears as summary figures: workspace name, phase and dates, the number of licensed users and how many of them were active in the last 30 days. The partner does not see individual people's activity there.
- Partner people don't take up seats. Everything they create in your workspace, and all credits they use, belong to your workspace.
The Partner role and its rights
As soon as the first person from a partner gets access, MeinGPT creates a team “Partner: [partner name]” in your workspace. Everyone from this partner is a member of this team and, in an active workspace, has the role of a regular member – no admin rights.
You decide what the role may do through the permissions of this team. In partner settings, Set rights of the Partner role takes you straight there. To make this possible, permissions are switched on for your workspace automatically as soon as the first partner person gets access; the change is recorded in the audit log.
Partner people with access
Under Partner people with access you see, for each partner, who may work in your workspace right now and until when (Access until …). Every access is time-limited; the partner grants and extends it – by default for at most 90 days ahead, and during setup at most until setup ends. All workspace admins get an email for every new access.
Partner people also appear under Settings → Members in the Partner people section, marked “Partner”. They are managed only in partner settings.
How partner people sign in
Partner people sign in with their own company's login – the sign-in methods their partner company allows in MeinGPT apply, not those of your workspace. In addition, accessing your workspace always requires a sign-in with two-factor authentication. In the workspace switcher and in a banner, partner people see that they are working as a partner and until when their access runs.
Controlling access
You have three levels for taking access back:
Revoke a person's access
Click the Revoke access for … icon next to the person and confirm with Revoke access. The person loses access immediately. Anything they created in your workspace stays; data pools they owned are handed over to a workspace admin.
Turn off partner access
The Partner access switch blocks everyone from a partner at once. Their access is ended – if you turn access back on, the partner has to grant access to each person again. The partnership itself stays in place.
End the partnership
With End partnership and a short reason, the connection ends for good. Everyone from the partner loses access immediately. This cannot be undone – working together again needs a new link. Your data and credits stay entirely in your workspace. Ended partners are listed under Ended partnerships.
Partners in the audit log
Everything that happens around partners – new connections, granted, extended and revoked access, turned-off access, ended partnerships – is recorded in the Audit log under Settings → Privacy & compliance. Use the filter for who made the change and select Partners to see all changes made by partner people. More on the log: Compliance Controls.
Setup by a partner
A partner can create and prepare a new workspace for your company before you take it over. In partner settings, the connection then has the status In setup.
- During setup, the partner's people have administrator rights so they can configure the empty workspace.
- Some things only work after the handover: inviting members (by email or invite link), uploading knowledge and creating data sources, connecting connectors and MCP servers, enabling tools and setting up Outposts. These steps are blocked until you have taken over the workspace.
- Setup is limited to 30 days. If nobody takes over the workspace in that time, the connection ends, all partner access is ended and open invitations are deleted.
Handover
The partner sends an invitation to the email address it entered for your company's first admin. Only this person can take over the workspace. As soon as they accept the invitation:
- they become workspace admin and thereby confirm the partnership,
- the partner's people lose their administrator rights; from now on only the rights of the Partner role apply,
- a 4-week trial for up to 25 users starts. It does not renew automatically.
From then on, all features and rules on this page apply as in any other workspace.
